Privacy Policy
This policy explains what information Parrot collects, how we use it, and the choices you have. It applies to our website, applications, and AI voice and messaging agents.
01Overview
Parrot ("we," "us") provides an AI back-office platform for collision repair shops. This Privacy Policy describes how we handle information when shops, their employees, customers, and partners interact with our Service.
By using the Service, you agree to the practices described here. If you have questions, contact us at phillip@useparrot.com.
02Information we collect
We collect the following categories of information:
Account and business information
Name, business name, email address, phone number, role, billing information, and other details you provide when creating an account or signing an order form.
Operational data from the shop
Repair orders, supplements, parts invoices, vendor contacts, adjuster contacts, and similar records you connect to the Service or that the Service generates on your behalf.
Voice, message, and email content
Call recordings, transcripts, voicemails, SMS messages, and email content sent or received through the Service. This may include information about your customers, employees, suppliers, and insurance adjusters.
Usage and device data
Log data, IP address, browser type, device identifiers, pages viewed, and actions taken in the Service. We use cookies and similar technologies for authentication, preferences, and analytics.
03How we use information
We use information to:
- Provide, operate, and improve the Service, including the AI voice and messaging agents.
- Train and tune the models that power the Service, subject to the protections described below.
- Communicate with you about your account, billing, and product changes.
- Detect, prevent, and respond to fraud, abuse, and security incidents.
- Comply with legal obligations and enforce our agreements.
05Voice and call data
The Service makes and receives phone calls on behalf of the shop. Calls may be recorded and transcribed to operate the Service, train and improve the AI agents, and provide an audit trail for the shop.
You are responsible for complying with call-recording and consent laws in the jurisdictions where calls are placed or received. We provide tools and standard disclosures to help, but you control how the Service is configured and used.
06AI models and training
We use customer data to operate and improve the Service. Where we use data to train or fine-tune models, we apply technical and organizational measures designed to prevent the model from reproducing identifiable customer information in outputs to other customers.
We do not share your data with third-party AI providers for their independent training purposes.
07Data retention
We retain information for as long as needed to provide the Service, comply with legal obligations, resolve disputes, and enforce our agreements. Retention periods vary by data type and may be adjusted in your subscription agreement.
You may request deletion of your data as described below. Some information may be retained in backups or where required by law.
08Security
We use technical, administrative, and physical safeguards designed to protect information against unauthorized access, disclosure, alteration, and destruction. These include encryption in transit and at rest, access controls, logging, and regular review of our practices.
No system is perfectly secure. If we become aware of a security incident that affects your information, we will notify you in accordance with applicable law.
09Your rights and choices
Depending on where you live, you may have rights to access, correct, delete, or export information about you, and to object to or restrict certain processing.
To exercise these rights, contact us at phillip@useparrot.com. We will respond within the time required by applicable law. If you are a shop's customer, employee, or partner, please direct requests to the shop first, and we will support them in responding.
10International transfers
Parrot is based in the United States, and information we collect may be processed in the United States or other jurisdictions where our service providers operate. We take steps to ensure that transfers are protected by appropriate safeguards.
11Children
The Service is intended for businesses and is not directed to children under 13 (or the equivalent age under local law). We do not knowingly collect information from children. If you believe we have, contact us so we can delete it.
12Changes to this policy
We may update this Privacy Policy from time to time. When we make material changes, we will give reasonable notice, for example by email or through the Service. The "Last updated" date at the top of this page reflects the most recent revision.
